For most educational institutions in Bangladesh, the busiest printing period arrives all at once. Admission season needs prospectuses, forms and banners. The new session needs diaries, ID cards and notebooks. Then come exams, results and prize-giving, each with its own printed material.
When these jobs are left to the last minute, mistakes creep in: wrong dates in diaries, misspelt names on certificates, ID cards that arrive after classes have started. This guide shows how to plan your school printing so everything is ready on time and clearly comes from one institution.
Start with a printing calendar
Before you think about design, map out when each item is needed. A simple calendar keeps the principal, the admin office and teachers on the same page.
| Period | Typical items |
|---|---|
| Before admission season | Prospectus, admission forms, leaflets, banners and festoons |
| Before the new session | Student diaries, ID cards, lanyards, notebooks, calendars |
| During the year | Admit cards, answer scripts, notice pads, event banners |
| End of term or year | Report cards, certificates, testimonials, annual magazine |
Work backwards from each date. Leave time for collecting content, design, proof checking and printing, and confirm the production timeline with your printer when you request a quote.
Planning the student diary
The school diary is used every single day, so it deserves careful thought.
What to include
- Institution name, logo, address and contact details
- Student information page with space for a photo
- Academic calendar with holidays and exam dates
- Rules, dress code and code of conduct
- Class routine page
- Homework or daily lesson pages
- Parent–teacher communication and leave application pages
- Fee schedule or payment record pages, if you use them
Practical tips
- Collect content early. Holidays, exam dates and rules often need management approval. Gather them before design begins.
- Agree the page count. The number of pages affects the binding and the cost. Decide how many homework pages students really need.
- Choose a durable cover and binding. A diary goes in and out of a school bag hundreds of times.
- Plan versions. Some institutions use different diaries for junior and senior sections. Decide this early so each version is proofed separately.
Getting ID cards right
Student and staff ID cards are about identity and safety, so accuracy matters more than anything else.
Prepare your data
The easiest way to produce a large batch of ID cards is from a spreadsheet. Include one row per student with name, class, section, roll number, blood group, guardian phone number and any other details you want on the card. Name each photo file to match the student ID or roll number so photos are matched correctly.
Design for readability
- Keep the student's name and photo prominent
- Use a clear font size for class, roll and contact details
- Use colour coding for sections or campuses if it helps your staff
- Put an emergency contact number on the back
Don't forget the accessories
Lanyards printed with your institution's name, card holders and clips complete the set. Order them together so everything arrives at the same time.
Certificates and testimonials
Certificates are kept for years, so they should look and feel official.
- Use quality stock. Heavier paper or card gives a certificate a sense of value.
- Add finishing where it matters. Options such as foil stamping, embossing or serial numbers make certificates look more official and harder to copy.
- Double-check every name. Ask class teachers to verify spellings in both Bangla and English before printing. A mistake on a certificate is hard to fix later.
- Plan signatures. Decide whether signatures will be printed or signed by hand, and leave the right amount of space.
The admission prospectus
For many parents, the prospectus is their first detailed look at your institution. A good prospectus:
- Introduces your vision, curriculum and facilities with real photos of your campus
- Explains the admission process, requirements and key dates clearly
- Lists fees, or directs parents to the admission office, depending on your policy
- Includes contact details, directions and your website address
Pair it with a clear admission form and matching banners and leaflets, so your admission campaign looks consistent wherever parents see it.
A pre-print checklist
Before any file goes to print, confirm that:
- All dates match the approved academic calendar
- Names, classes and roll numbers have been verified
- Logo, colours and fonts match your other material
- Phone numbers and addresses are current
- Bangla and English text has been proofread
- Quantities include a small buffer for late admissions
Keep files ready for next year
Most school printing repeats every year with small changes. Keep your approved design files in one place, so next year's diary only needs new dates and updated information. It saves time and keeps your identity consistent from one session to the next.
